ORDER DEADLINES

To provide the best quality food and service, we request orders are placed at least three business days prior to the event.

Large receptions, hot lunches, breakfasts, and dinners require seven days notice.

The guaranteed number of guests for all functions is required 72 hours (3 business days) in advance of the function. Billing will be for the guarantee or actual attendance, whichever is greater. 

If a last minute order is requested, menu substitutions may be required, and delivery may be based on staff availability. There will be $25.00 surcharge for last minute orders (24 hours prior to the event).

MINIMUM ORDERS

A minimum order of $35.00 is required for delivered service.

A $25.00 charge will be applied to all delivered catering functions under $35.00 excluding tax.

There is no charge for caterings which are picked up from Food Services

CANCELLATIONS

For caterings below $400 (excluding Tax) Cancellations must be made a minimum of 48 hours prior to the catered event.

For caterings above $400 (excluding Tax) Cancellations must be made a minimum of 72 hours prior to the catered event.

 

Cancellations which are made after 12:00pm the business day before the event are subject to full payment for the catered event.

HOURS OF CATERING SERVICE

Hours of Operation:

7:30 am – 5 pm         Monday to Thursday 

7:30 am – 3 pm         Friday 

The hours vary during summer and outside of Fall and Spring semester.

Weekend Catering is available for larger events, BBQs, and Conferences – please call us for details. 

Minimum orders and additional labour charges may apply for after hours catering requirements.

ALLERGIES

Please note that Chartwells cannot guarantee that its products do not contain ingredients that one might be allergic to.  We strongly recommend that you discuss your menu with us if there is a concern.

FOOD AND BEVERAGE EXCLUSIVITY

No outside food or beverage of any kind will be permitted to be brought into the University or to leave the premises by the convener or guests.

CATERING EQUIPMENT

Any missing or un-returned equipment, dishware, or supplies will be charged to the requesting party at full cost.

If supplies are moved to another room or office – it is your responsibility to inform Food Services to avoid charges.

FOOD STORAGE

Chartwells has a strict policy of NOT accepting any food for storage in any part of our premises that have not been purchased directly through us.

PAYMENT

Internal customers at Capilano University can charge catered events to department cost centers. Please provide the correct cost center when the order is made.

External Customers - Full payment is required 48 hours prior to the catered event. Cash, Mastercard, VISA, and certified cheque are accepted (payable to Chartwells or Compass Group Canada).

All food & beverage charges are subject to applicable taxes.

LIABILITIES

Chartwells will not assume any responsibility for the damage or loss of any merchandise or articles left in the building before or after your function, or from any events that are beyond our control.

SERVICE

Unless otherwise specified, all prices quoted include enviro-friendly biodegradable dishes, cups, and cutlery.

Greenware Dishes and Coffee Mugs can be selected for your catered event at no additional charge (subject to availability)

China Dishes, Glasses, and Cutlery is available at a cost of $1.05 per person.

White Linen Banquet tablecloths are available at a rental charge of $7.50 each.

For larger events - Food Services can rent linens, dishware, and equipment on your behalf. – additional service charges may apply.  Catering Customers can also make rental arrangements with a rental company (in which case , you are responsible for coordinating pick-up and delivery, and payment) If you require rentals, please provide as much notice as possible - minimum ONE week)

It is the Catering Requestor’s responsibility to ensure tables are available and set-up for catered events. Arrangements can be made by contacting Room Set-Up at roomsetup@capilanou.ca

Additional Labour charges may be applicable to after hours catered events or events where service staff are required for the duration of the event. Please call us to discuss your needs.

Server’s rate is $18.00 per hour, ($25/hr after normal food service hours)

Liquor Service is not provided by Chartwells at Capilano University.
